Policy Guide for XA Ministry Center (HQ) reservations
Chi Alpha ministry center (1100 Cleveland Street)
1. Staff, Residents, and Life Group Leaders:
a. Application for use must be approved by a staff pastor over who oversees the facility.
b. Life Group leaders may make reservations for HQ once per month for life group or a family activity.
2. General Reservation Parameters
a. Chi Alpha ministry events are awarded priority and all other events are considered on a first come, first served basis.
b. Reservations must be made at least 48 hours prior to use.
c. Reservations can last no longer than three hours.
d. Reservations can begin no later than 8 PM. Curfew is at 11 PM.
e. Facility must be returned to its original condition (or better) after reservation (trash, dishes, furniture, etc.)
3. Reservations for non-ministry Chi Alpha related activities
a. These include activities that are not related to Life Group or Family ministry such as game nights, holiday parties, and other social activities for Chi Alpha students.
b. For all Chi Alpha student social activities: Non-student leaders may request a reservation for HQ with a student leader who wishes to sponsor the reservation and assume all responsibility for facility use.
c. The sponsoring student leader must be present for the duration of the activity.
4. Reservations for non-Chi Alpha related activities
a. Non-Chi Alpha related activities include Birthdays, Receptions, and other special events or activities.
b. For non-Chi Alpha reservations, a student leader, resident, or staff member must co-sponsor the reservation. The sponsor must be present for the duration of the activity.
c. A fee of $75 will be charged for all non-Chi Alpha related reservations.
